Meta partner access: onboard an agency without sharing passwords

Give your marketing partner access to the assets they need, not your personal login. For Meta campaigns, agree the work first, confirm the partner’s identity, share the relevant business assets and verify the setup before anyone launches ads. Keep account ownership, spending approval and the handover plan clear from day one.

Start with the job, not the login

A trades business hiring someone to run lead ads does not necessarily need to hand over its entire online operation. Before touching permissions, write down the service being bought: which channels, which offer, which geographical area, who approves spend and who contacts enquiries.

Treat this as an operational checklist, not a promise that a particular permission automatically makes onboarding safe. Ask the partner to explain why each asset is needed. Confirm the business name and portfolio ID through an established conversation, rather than approving an unexpected request because it looks official.

Build a short access-and-responsibility list

The table below is an example planning checklist for a local service business. It is not a universal Meta permission preset. Record the actual asset names and IDs privately so both sides can check that they are working on the same business.

Example: preparing a plumbing business for managed lead ads
ItemConfirm before launch
Business identityThe correct Facebook Page and, if used, Instagram account, not an old trading name.
Advertising accountThe intended account, billing currency, payer and agreed advertising budget.
Lead handlingWho can retrieve enquiries, where they arrive and which person follows them up.
Creative assetsApproved logo, real job photos, usage rights and the offer being advertised.
Approval recordWho signs off the final creative, location targeting and spend.
Exit planWho will manage or pause campaigns and retain necessary records when the work ends.

How Meta partner sharing works

Meta’s current guidance requires the person sharing assets to have full control of the business portfolio. The partner needs its own portfolio and must provide its ID. You select individual assets and either full control or task-specific partial access; choose the access needed for the agreed work.

In Meta Business Suite settings, open Partners under Users, add the partner using its portfolio ID, select the assets and permissions, then assign them. Another authorised person may need to approve the action. Both businesses can check what has been shared in settings.

If Partners is missing, check your portfolio access before trying again. Do not work around a permissions problem by sending a password. Interface labels can change; use Meta’s linked instructions alongside the screen you actually see.

Verify access before calling onboarding complete

Ask the partner to confirm the asset names it can see and the work it can perform. For a lead campaign, include a controlled form test and verify that the intended person can receive the enquiry. Clearly label test submissions and handle them according to your normal data-retention process.

Keep security checks separate from campaign checks. Meta recommends auditing permissions, limiting full-control access, using stronger authentication and keeping recovery methods available. It also recommends two active people with full control where appropriate, so the business is not dependent on one person’s account.

Do not share passwords, one-time sign-in codes or recovery codes with a marketing partner. If you need a guided call, enter credentials yourself and stop screen sharing before opening sensitive recovery or payment details.

  • Confirm the requested access is active, not merely invited or awaiting approval.
  • Check that the account and Page belong to the intended business.
  • Review who will respond to leads before turning on spend.
  • Keep a dated record of the agreed scope and final launch approval.

Plan the handover before removing access

Decide who will take responsibility for active campaigns, outstanding enquiries, reporting and billing when the engagement ends. Confirm any required campaign pauses in the ad account itself. Do not use access removal as a substitute for checking whether advertising is still running.

Meta provides a partner-removal flow in business portfolio settings for people with full control. Removing a partner is distinct from removing an individual person, so review the relevant access routes rather than assuming one change covers every relationship.

Agree which creative files and reports you may retain under the contract, and arrange the handover before the partner loses access. This is especially useful when moving to another provider or bringing campaign management in-house.

How account sharing works with VOCO

VOCO creates and manages your advertising using our custom AI software and a dedicated account manager. For Facebook and Instagram, you share access to your Page, ad account and Instagram account through Meta’s partner tools. The accounts remain yours. Our team verifies access, prepares the campaign and sends you the Meta images and videos for approval. We handle ad copy, targeting and budget settings within your agreed scope.

VOCO Meta covers Facebook and Instagram for $299 USD/month. VOCO Growth includes those channels, Google Search and one branded lead-generation landing page for $499 USD/month total. Applicable tax and advertising spend are separate. An optional onboarding call helps you complete account sharing after payment. Your team handles inquiries and sales.

Common questions

Does my agency need my Facebook password?

No. Use the platform’s access-sharing tools for the agreed work. A request for your password or sign-in codes is not a necessary step in the VOCO setup.

Does sharing access mean the ads can go live?

No. Sharing account access or paying does not by itself authorise launch. During onboarding, agree the campaign scope and spending allowance and give the required management authority. For a new Meta campaign, confirming Approve content & publish authorises publication using the reviewed images and videos; VOCO handles copy, targeting and budget settings within the agreed scope. You may separately ask staff to launch on your behalf. Meta review and account eligibility still apply.

What if the partner still cannot see something?

Compare the intended asset names and IDs, check pending approvals and ask which specific task is blocked. Resolve that gap rather than granting broader access without a clear reason.
